Office Secretary
Position Description
The church secretary handles a wide range of office tasks, from filing to answering phones to responding to emails, and also acts as a liaison between the congregation and church’s Pastor and Council.
Roles and Responsibilities
General office management, including answering calls, emails and other clerical tasks.
Creates, updates, and distributes church event calendar. Maintains the in-office calendar and keeps staff up-to-date on upcoming meetings and events.
Acts as liaison to other volunteer organizations and church-affiliated committees.
Maintains all church records, such as information regarding baptisms and marriages.
Schedules meetings for church office employees. Assists in creation and development of all associated materials, including Council meeting agendas and packets.
Assists in writing, editing, printing, and distributing of all congregational communications.
Manage youth scheduling for Sunday activities.
Arranges details for weddings, funerals, baptisms, and any other events (Elections) that require the use of the church itself.
Assists finance manager in preparing payroll information, distributing checks, and maintaining office financial records.
Other duties as assigned.
Knowledge, Skills and Abilities
Demonstrates the ability to clearly and effectively communicate.
Possesses knowledge of publishing, word processing, and financial computer software, including Word, Excel, WordPress, Quicken, and Adobe. (Experience with Mail Chimp, Weebly and Breeze is a plus).
Exhibits strong organizational skills and attention to detail.
Has the ability to think creatively, for purposes of updating the website and other widely distributed church materials.
Light walking and lifting is required.
Education and Experience
Minimum of high school diploma required.
Basic office work experience required.
Work Environment
Office setting.
The normal work hours are defined as: 9:00 a.m. to 1:00 p.m. four weekdays during each week, Monday – Thursday.These are adjustable depending on the candidate.

Office Accountant
Position Title: Church Accountant
Position Hours: Part Time Exempt Position
Scope: Under the direction and supervision of the Church Administrator, and the oversight of the Church Council, this position is responsible for supplying accurate, up-to-date financial and contribution records for the church and its related ministries. This position is also responsible for preparing financial analyses of operations, including interim and final financial statements with supporting schedules, as requested. The Church Accountant is also responsible for the communication of the church financial plans and policies, its accounting practices, the maintenance of fiscal records, and the preparation of financial reports. The position involves managing general accounting tasks, property accounting, internal auditing, and budgetary controls.
The Office Accountant agrees to fulfill the following duties:
a. On a weekly basis, the Office Administrator is responsible for:
i. Process and input the weekly offering’s to contribution statements, via the ICON system. File deposit slip with Weekly Income Statement for offerings.
ii. Enter such weekly offerings into QuickBooks.
iii. Process the weekly “Simply Giving”, automatic contributions in ICON, so they are recorded.
iv. Pay Bills, print checks, maintain QB checkbooks.
v. Process Payroll – biweekly
b. On a monthly basis, the Office Accountant:
i. Maintain membership lists in Icon CMO, online web service, as needed.
ii. Maintain membership / households in VANCO, online web service (as needed), in conjunction with Church Secretary.
iii. Complete accounting “Reconcile” for all major accounts in QB (presently – General, Vision, Youth). Need to get bank statements from Treasurer at the beginning of each month and file in database, and attach hard copy to each Reconcile report.
iv. Print Monthly Balance statement and Profit & Loss statement reports (with comparison to prior year), and email to Council President and Treasurer. Leave copies for secretary to file.
v. Process Payroll taxes with State of IL, and Federal.
vi. Process “Portico” benefits for Pastor – as needed.
vii. Process “Mission of the Month” and COOL, checks and mail.
viii. Assist Treasurer in setting up new employees – as needed.
ix. Assist Pastor in setting up visitation Pastor (W9), and payment processing, as needed.
x. Communicate via email any information of importance to the Council president / Treasurer including, but not limited to:
c. On an Annual basis, in January, the Office Accountant:
i. Print and email, ICON church giving statements / reports. (Hard copies for those without email are placed with the Secretary to file in church mailboxes or US Postal mail.)
ii. Assist Treasurer with all W2 & W3 statements
iii. Process all Audit material for annual accounting audit conducted (typically) at the end of January. Box and file audit material.
St. Mark’s Evangelical Lutheran Church agrees to pay the Office Accountant the sum of $20.00 per hour, with the intended schedule being 5 - 6 hours per week, typically a Friday, but can be flexible with scheduling. It is understood that certain weeks may exceed such 6 hours, and will be paid at the same $20 / hour rate (no overtime).
